A global industrial manufacturing giant needed to ensure the well-being and efficiency of its 300,000+ employees across more than 100 countries. With 289 major production plants worldwide, managing the diverse HR needs of such a vast workforce was challenging to say the least.

To address these challenges, the company partnered with InfoBeans to streamline their HR processes and elevate the employee experience. By implementing ServiceNow HR Service Delivery (HRSD) and harnessing the power of Robotic Process Automation (RPA), we helped transform their HR operations, making them more efficient, compliant, and employee centric.

Step 1: Recognizing the challenge

The first step to any endeavor is to understand and anticipate the obstacles ahead.

When this manufacturing giant approached us, their HR operations were bursting at the seams. Each country had its own way of doing things, and processes like onboarding were weighed down by inefficiencies and inconsistencies. They needed a scalable solution to unify their HR operations and improve the employee journey.

Step 2: Crafting the solution

Our next step was to create a strategic approach that leveraged the power of ServiceNow HRSD and RPA technology. Our team carefully mapped out the strategies for every phase—from prototyping to architecture design and implementation to major rollouts. The goal? A more efficient and effective HR system.

1. Starting with implementation

The team implemented the ServiceNow HRSD platform, including key plugins like HR Core, HR Integrations, and HR Lifecycle Events, to create a unified HR system that could cater to the diverse needs of different countries.

2. Customizing for a better experience

Knowing that we needed to go beyond configuring OOTB Employee Service Center (EC Pro), we developed additional custom pages and widgets. We also crafted custom dashboards tailored for applicants, talent acquisition teams, and HR specialists. 

3. Automating compliance with RPA

Next was introducing RPA automation using UI Path to handle the extraction and population of compliance documents from third-party verification files. This automation included a color-coded system that made tracking status and matching verification criteria more straightforward and efficient.

4. Enhancing integration with APIs

We integrated RPA tools with third-party vendors through Rest APIs for better functionality and a smoother HR process across systems.

5. Streamlining recurring HR events

Whenever possible, we scheduled tasks for pre-planned activities to ensure that processes ran smoothly and without manual intervention.

6. Automated notifications

Through HRSD, we implemented automatic email notifications for better communication and collaboration across departments. We also integrated admin, IT, and training functions within the HR system to ensure that all departments are on the same page.

Step 3: Creating a difference

With the implementation of intelligent HR process automation, the manufacturing leader is now enjoying significant improvements in efficiency, compliance, and employee satisfaction. Here are the results:

Advanced Work Assignment (AWA) feature—right tasks are routed to the right agents, improving work tracking and prioritization.Employees now enjoy a more intuitive and responsive HR experience, with the ability to access services both digitally and in person.Satisfaction levels have risen across the organization, and the manufacturing giant is now better equipped to meet the needs of its workforce.

As the organization continues to roll out these improvements to additional countries, they are poised to maintain their leadership position in the industry while providing a world-class experience for their employees.

This is an ongoing endeavor where HR processes have been successfully deployed in four countries, with plans for rollouts in an additional 42 countries currently in progress.
